Delhi Urbania Hire – Terms & Conditions

Luxury Urbania Vans & Tempo Traveller Rentals | Premium Tour Packages

1. VEHICLE RENTAL TERMS

1.1 Booking & Advance Payment

  • Booking will be confirmed only after paying at least 30% advance.
  • The advance is used to block the vehicle, driver, and travel dates.
  • Advance payment is non-refundable.
  • Remaining balance must be paid at the time of pickup (Hotel / Home / Airport / Railway Station).
  • Payments accepted: Cash, UPI, Bank Transfer, Net Banking, Debit/Credit Card.
  • Online payment delays (24–36 hours) are not Delhi Urbania Hire’s responsibility; service begins only after payment is reflected.

1.2 Kilometers & Timing

  • Kilometers & hours are counted Garage to Garage.
  • Minimum 250 KM/day applies for outstation rentals.
  • If vehicle is required before 5 AM or after 10 PM, extra overtime charges apply.

1.3 Extra Charges

  • Toll taxes, parking charges, and state entry taxes must be paid by the customer.
  • Night charges apply after 10 PM for local rentals.
  • GST (12%) is applicable as per government law.

1.4 Vehicle Condition & Safety

  • If the vehicle condition is not satisfactory at pickup, inform Delhi Urbania Hire team before the trip starts.
  • AC will not operate in hill areas or when the vehicle is parked/stopped.
  • Pets are not allowed inside rental vehicles.
  • Driver safety is important. Any misbehavior or arguments with the driver may result in trip cancellation without refund.
  • 1.5 Breakdown & Unavoidable Delays
  • In case of a breakdown, Delhi Urbania Hire will arrange a repair or send an alternate vehicle (subject to availability).
  • Delhi Urbania Hire is not responsible for delays caused by: Traffic, Weather, Roadblocks, Accidents, Police checking, Natural disasters, Political issues

1.5 Route, Safety & Restrictions

  • Route must be finalised before confirming booking.
  • Changing the route during travel may lead to revised charges.
  • Drivers will not enter - No-entry zones,Dangerous hill roads,Very narrow / unsafe routes,Night travel may be restricted in winter due to fog and safety guidelines.


2. TOUR PACKAGE TERMS (Hotels + Vehicle + Sightseeing)

2.1 Payments & Confirmation

  • Tour package booking requires 60% advance, which is non-refundable.
  • Remaining amount must be paid at the start of the tour.
  • GST (18%) applies on all package bookings.

2.2 Hotel Policies

  • Check-in time: 1:00 PM
  • Check-out time: 11:00 AM
  • Early check-in or late checkout depends on hotel rules and may cost extra.
  • Guest must carry valid ID proof (Aadhar Card / Passport / Driving License).

2.3 Itinerary Changes

  • Tour will follow the final itinerary.
  • If weather or road conditions are unsafe, we may modify the itinerary for passenger safety.
  • Missed sightseeing due to passenger delay will not be refunded.

2.4 Responsibilities

  • Customer must be medically fit for travel.
  • Delhi Urbania Hire and the driver cannot provide medical support.
  • We / our team / drivers shall not held responsible for lost items in hotels or vehicles.
  • Prices may change if : Fuel cost increases, Hotel prices change, Government taxes change

2.5 Alternate Arrangements

  • If a hotel or vehicle becomes unavailable, Delhi Urbania Hire team may offer a similar alternative.

3. CANCELLATION & REFUND POLICY

3.1 How to Cancel

  • Cancellation must be done by calling Delhi Urbania Hire support or emailing our official ID.
  • Do NOT cancel through the driver.

3.2 Standard Cancellation Rules

  • In case the booking is cancelled more than 72 hours or more before the pickup time, 75 % of the total booking amount will be refunded.
  • In case the booking is cancelled within 72-48 hours before pick up time, 50% of the booking amount will be deducted as penalty.
  • In case the booking is cancelled within 48-24 hours before pick up time, 75% of the booking amount will be deducted as penalty.
  • In case the booking is cancelled within 24 hours before pick up time, 100% of the booking amount will be deducted as penalty.
  • In case the cancellation is done from Delhi Urbania Hire due to unavoidable reasons, 100% of the booking amount will be refunded.

3.3 During Trip

  • No refund if : Customer cancels mid-trip, customer does not show up or customer ends trip early.


4. FOR TOUR PACKAGE CANCELLATION

4.1 Cancellation Policy

  • Advance (60%) is not refundable.
  • If canceled 5 days before travel, 50% of the total package amount will be charged.
  • No refunds after trip starts or during the trip.


4.2 Delhi Urbania Hire Team Shall Not Held Responsible For Cancellations Caused By:

  • Natural disasters
  • Heavy rains / snowfall
  • Roadblocks / strikes
  • Vehicle breakdowns
  • Political issues
  • Accidents
  • Airline/train delays

4.3 Refund Time

  • Eligible refunds (if any) are processed within 7–14 working days.


5. HEALTH ADVISORY (Important)

5.1 Medical Fitness

  • By booking with Delhi Urbania Hire, you confirm you are medically fit for travel.
  • If you have any medical conditions (heart issues, breathing problems, recent surgery, pregnancy, etc.) you must inform us before booking.
  • Delhi Urbania Hire has the right to deny travel if it affects your safety.

5.2 Adventure Activities Disclaimer

  • Delhi Urbania Hire is not responsible for any injury, accident, or risk involved in : Trekking, Hiking, Rafting, Paragliding, Camping, Skiing, Water sports, Safari rides, Zipline,
  • Any adventure activity involving height, speed, water, or risk
  • These activities are done purely at your own risk.

5.3 Sightseeing & Local Risks

  • During sightseeing, travelers must : Follow guide/driver instructions, Avoid restricted or dangerous zones, Walk carefully on uneven roads,mountains, slopes.
  • Accidents caused due to careless movement, running, slipping, or ignoring safety instructions are not Delhi Uurbania Hire’s responsibility.

5.4 Emergency & Medical Support

  • Our drivers/tour representatives are not trained medical staff.
  • In case of an emergency: Local hospital / medical help will be arranged
  • All medical expenses must be paid by the traveler
  • Delhi Urbania Hire is not liable for any medical, hospital, or injury cost.

5.5 Life-Risk Situations

  • Delhi Urbania Hire is not liable for any loss, injury, or harm arising from: Natural disasters, Wildlife encounters, Harsh weather, Falls / slips during sightseeing
  • Self-driven adventure
  • Ignoring safety instructions
  • Travelers participate in all such activities at their own responsibility.


6. GENERAL TERMS

  • Always declare group type: family, friends, students, or corporate.
  • Make sure your hotel is road-accessible with proper parking.
  • Delhi Urbania Hire reserves the right to modify policies without notice.
  • All disputes fall under Delhi NCR jurisdiction.
